Job Advertisement: HR Administrator

Fixed term contract of 10 months

We innovatively transform and empower individuals, community workers and organisations by developing their capacities to effectively respond to the socio-economic and health challenges that burden communities.

MAIN PURPOSE OF THIS POSITION

With oversight and direction from the Human Resource Manager, the HR Administrators will be mainly responsible for

  • Onboarding - Assisting in compiling employee starter packs and assisting employees with completion of documents.
  • Maintenance of up-to-date employee records
  • Establishing and maintaining proper HR filing systems
  • Ensuring that timesheets are completed correctly, collated, and submitted to HR Manager for payroll.
  • Verification of biometric data, ensuring that they correspond with timesheets and manual attendance register.
  • Conduct on site verification at regular intervals.
  • Capturing and updating employee information on the HR database
  • Assisting with implementing and communicating company policies and procedures.

Key Performance Areas:

   1. Personnel Files

1.1 New Employee files to be created and to ensure that they are kept up to date with required documentation.

1.2 To ensure the proper safeguarded of personnel records against damage, loss and unauthorised access.

1.3 To ensure that any changes to employment (Appointment, Amendment, and Termination) is done correctly and communicated to all key stakeholders in a timely manner.

1.4 Performs periodic reviews of personnel files to identify documents outstanding / to be updated.

1.5 Amendments to personnel terms and conditions are updated accurately and in a timely manner.

1.6 Changes to personnel terms and conditions are updated to personnel files regularly.

   2. Preparation, and Review of Biometrics and Timesheets

2.1 Training of supervisors on the correct use of capturing data of entry and exit times of participants.

2.2 Identify data needing adjustments and collating weekly reports for review by HR Manager

2.3 Ensure that Timesheets correspond with leave for that particular month before signing off.

   3. Capturing of all leave & management thereof:

3.1 Administrator should have up to date information on current legislature regarding leave for compliance purposes.

Requirements:

  • Matric/Grade 12 Certificate
  • Drivers License for sub partner verification visits and spot checks
  • Administrative support capabilities - contracts, new hire documentation, and terminations for staff
  • Experience of managing high recruitment volume
  • Working knowledge of HR practices: recruitment, performance management, legislation, labour relations, and remuneration.
  • An understanding of HR legislation and requirements, and the ability to apply the relevant legislation in the work environment.
  • Effective Communication (Written and Verbal)
  • Excellent interpersonal, collaboration and communication skills
  • Ability to handle pressure.
  • High level of patience and tolerance
  • Must be partially or fully vaccinated (Covid-19)
